Field work and handoff

Keep field notes and AV as-built drawings together

Record installation changes, close field notes, save a checked as-built version and update the published plan for the crew and client.

An as-built should describe what was installed

Keep installation changes with the drawing, check the finished work, then save and issue the agreed record. A proposal drawing does not become an as-built just because the file name changes.

Integrator Design Studio supports this process with annotations, numbered notes, device work status, saved versions and a published presentation. Agree the client’s closeout requirements first; additional schematics, test results, manuals or commissioning records may belong in the package.

1. Record field changes where they happen

Open an annotation session for the visit or work stage. Add marks and numbered keyed notes beside the affected locations, with the words gathered in the notes table. Keep the instruction specific enough for the next technician to act on.

Close numbered field notes on the plan. 10-second silent product recording. A notes table lists Missing Conduit, Damaged Wire and Confirm pocket size. Selecting a note connects its table row to the numbered mark on the drawing. Damaged Wire and Missing Conduit are marked done and crossed out; Confirm pocket size remains open.

In this recording, Damaged Wire and Missing Conduit are closed while Confirm pocket size stays open. Marking a note Done crosses out its text and keeps its number, preserving the relationship between the drawing and the table.

Add keyed notes and manage their numbers

2. Separate completed work from unresolved items

Select one or more devices and choose To do, Done or Blocked in Properties. Use the Equipment filter or Views to focus on the statuses the crew needs. Filtering changes what is shown; it does not mark work complete.

Update device positions and relevant cabling details to match the installation. Resolve or explicitly list outstanding items, and check the schedule against actual routes and measured lengths where available.

Set work status and filter the drawing

3. Save a checked handoff version

After reviewing the installation, choose Save and give the version a useful name, such as “As-built — ground floor — checked October 1.” Choose the appropriate revision or major version. The name is your record of the review; the software does not certify the installation.

Continuous saving keeps the current drawing up to date. A saved version is the deliberate snapshot you can return to. Restoring an older version saves the current work first and leaves the shared link unchanged.

  • Check installed device locations, labels and product details.
  • Review cable destinations, lengths and unresolved warnings.
  • Confirm the included sheets, trade views, notes and title-block revision.
  • Retain the PDF, equipment and cable exports required for the job, including the conduit schedule when the handoff needs it.

Save and restore versions

4. Update the published plan

Open Share and review the pages. Choose Publish link for the first issue or Update for an existing presentation. Alternatively, use Update shared link while saving a version when that snapshot should also be published.

Editing the drawing alone does not update the presentation. The shared link and printed QR code open the latest published version. Updating keeps the same link; replacing or deleting it stops old links and their printed QR codes from working.

Anyone with an unprotected share link can open it. Use the available PIN and access controls as appropriate, and verify the published version before handing it over. Review the source documents before sharing: visually cropping or covering part of a vector blueprint is not secure redaction of its underlying PDF.

When the site has no connection

Editing requires an internet connection. Download the required PDF in advance for offline reference, then reconcile field changes in the application when connected. Device photo attachments are not currently supported; keep any required photo record in your established project process.
